Using Open AI’s GPT-3 to automate client emails


It all started when Zapier sent me an email on Open AI’s GPT-3 to write business emails- an article written by Elena Atson. That is when I knew that AI had officially flown into the Cyber Planet of Marketing.



I love learning more, and one of my roles as a Project Officer in the IT Department of Friends Consult LTD is to incorporate automated emails.


The email sent to me answered the need for an easy automation system.


Open AI's GPT-3 has an integration option with Zapier and many more apps.

Automated workflows are an interest in FCL, this is part of our digital transformation and project initiatives. So how odes this all work? Automating emails with Artificial Intelligence?


Zapier, for example, offers templates on integration. I have seen that one simply needs to set up an Open AI account first, and generate an API key. This key helps connect the Open AI account with other apps.


Whenever an email is clicked, this will trigger the Open AI - Zapier Automation. After setting the trigger to "New-Email", choose the mailbox that you will connect to the "email automation made with Zapier".


For customers, create a Gmail label named "customer emails". Choose this as the automation trigger.


Testing the trigger of the automation: Zapier will find a recently received email with the label that was selected. This sets on the Zap.

Tip: One thing you can do is send yourself a test email and label it creatively. Then go ahead and set the Zap. Zapier will notify you that a new email has been found.


Once you are sure that your Zapier and Email are linked, go ahead and link your OpenAI account. Click Continue.


Select Open AI as your action app and Send Prompt as your action event. Click Continue. You will see the phrases Send Prompt in Open AI.

Click Continue.


Setting up the Open AI in Prompt involves the following steps:

  • Choose an account- Select an account from the dropdown menu (This is if you have connected Open AI to Zapier before. Or, click Connect a new account, then Continue).

  • Next, you will insert your API Key.

  • After inserting your API Key, you will have to explain to Zap how you wish for the email content to be generated. Zapier will give you an automated email with Keywords to fill into the body. What you can do, you can pull data from your Gmail emails by clicking inside an empty field where you would like data to go.

  • Options will appear that include: AI Model, prompt, temperature, and length.


Note: Right here, the most important option is the prompt. Carefully note down what you wish for the AI to do. For example; Generate 4 business email responses in UK English that are friendly but still appropriate for the workplace (that is the prompt you are giving the AI. Next is the body).

  1. After you have customized all the fields in Prompt, Click Continue.

Now it's time to test your action. When you click Test & Review or Test & Continue, Zapier will pull in the three prompts from OpenAI according to how you customized the fields in your Zap.


Once you see that your trigger is working correctly, click Continue.

Set up your Gmail action

Next, it's time to set up one more action step. Select Gmail for your action app and Create Draft for your action event.


Once again, you'll be asked to connect your Gmail account. Connect the Gmail account where you want your draft emails to be generated. In this case, we're using the same Gmail account where we receive the customer emails.

Click Continue.


Now it's time to set up the way your draft emails will look. Make sure you pull in the customer's email address (the original sender) by clicking in the To field and selecting the From Email address from the dropdown data. This is so that you can send your draft email straight back to the customer once you've selected your content choice.

You can also choose who you want to be cc'd or bcc'd onto these emails.


In the subject line, you can pull in data from the original email your customer sent you and customize the sender's name in the From Name field.


Once you're done, you can now pull in your GPT-3 results by clicking in the Body field and selecting Choices Text from the data dropdown.


In addition, you can also include a default signature with the email, add these drafts to a label or mailbox, and include attachments, if necessary.

Once you've finished customizing these fields, click Continue.


Now it's time to test your action. Click Test action. Zapier will create a draft email with your three content choices.


Once you've reviewed the draft email your Zap created, your Zap is now ready to use. If something looks off, go back and tweak things until you get it just right.

The Zap will now create your business emails and save them to your drafts in a matter of seconds. Here's what ours looks like:

Now, every time a customer or lead sends you an email, this Zap will create 3 choices for you and add them to your Gmail drafts folder. All you have to do is review your choices and select your favorite, tweak any specifics, and send it straight back to your client.

You won't have to worry about wording or not coming across as professional, as your GPT-3 prompt will sort it out for you, allowing for faster response time.
